AI Workflow Automation
Take the repetitive work out of your team's week
A WhatsApp enquiry sits unanswered overnight. A form gets typed into three different systems. That kind of routine work eats the time of people who should be selling, serving customers or making decisions. We study the workflow first, then automate the parts that will reliably save time, using tools you already have wherever we can.
At a glance
- First step
- An assessment of one workflow you choose
- How long
- Usually one week
- Your team's time
- Two or three walkthroughs with the people who do the work
- You receive
- A written assessment of what to automate and the effort involved
- After that
- Builds usually take two to six weeks. Simple WhatsApp set-ups for small businesses often take one or two
Every stage is a fixed fee agreed in writing before it starts, and you can stop after any stage.
Signs this is the problem
When to call us about this
- Enquiries come in on WhatsApp at night and nobody replies until morning, if at all.
- Leads from Instagram, WhatsApp and phone calls live in personal phones and notebooks.
- Someone matches mobile money and bank payments to invoices by hand every day.
- Customers are reminded about payments and appointments one phone call at a time.
- Staff type the same details from forms and emails into two or three systems.
- The same report gets rebuilt by hand every week or month.
What we do
Less repetitive work, faster replies and shorter waits.
- Lead capture from WhatsApp and your website, with instant replies, follow-up reminders and every lead logged in one place.
- Payment matching for mobile money, bank transfers and card payments against invoices and orders.
- Automatic reminders by WhatsApp, SMS or email for invoices, renewals and appointments.
- Document processing that reads forms and letters, checks them for gaps and records the details once.
- Approval and onboarding workflows that show where everything is and nudge whoever is holding it up.
- Routine reports prepared and sent on schedule, without anyone rebuilding them.
Often today
- Enquiry arrives on WhatsApp at night
- Seen the next morning
- Prices typed out by hand
- Details noted in a book
- Follow-up forgotten
After the work
- Instant reply with prices and options
- Lead logged automatically
- Reminder sent to follow up
How an engagement runs
From first call to handover
- 01Understand
The automation assessment. We map one workflow as it really runs, including volumes, exceptions and who does what.
- 02Diagnose
We work out which steps suit automation, which should be simplified first and which should stay with people.
- 03Implement
We build and test the automation with the staff who do the work today, using tools you can afford to keep running.
- 04Hand over
We document it, train your staff and agree how it'll be watched and maintained.
What you receive
What you’ll have at the end
- A written assessment of the workflow, showing which steps to automate and the effort involved.
- A working automation for the agreed scope, tested on real cases.
- Documentation on how it works, what to check and what to do when something goes wrong.
- Training for the staff who'll use it and keep an eye on it.
Illustrative scenario: Audit firm
Juniors back on audit work, with the formatting done for them.
At an audit and assurance firm, junior staff spend a large share of each engagement requesting documents from clients, copying trial balances into templates and formatting working papers. Seniors review late because the groundwork runs late.
An automation assessment would map the document request and preparation steps across a typical engagement. A likely design tracks client requests in one place and populates standard working papers from client data, with staff reviewing every figure before sign-off.

Questions
Worth asking before a first call
Is this only for large organisations?
No. A growing business that sells on WhatsApp can often start with one automation, like instant replies and lead tracking, for a modest fixed fee.
Do we need new software?
Usually not. We work with WhatsApp Business, Google Workspace or Microsoft 365, your accounting package and your payment providers wherever we can, and only suggest new tools when they'll clearly pay for themselves.
Will automation replace our staff?
The point is to take repetitive tasks off people so they can spend their time on customers and decisions. What you do with the time saved is up to you.
What if the automation makes a mistake?
Every automation has checks built in, and a person reviews anything risky, such as payments or promises to customers. We agree those controls with you before we build.
